25 Years of EASY hiSTORIES — Contest Terms and Conditions

Effective from 14 August 2026

1. Organiser

  1. The organiser of the contest (the “Contest”) is EASY SURF Bartosz Grzesiek, with its registered office at Św. Michała 100, 61-005 Poznań, Poland, EU VAT number PL7821239556, hereinafter referred to as the “Organiser” or “EASY-surfshop”.
  2. The Contest is organised as part of EASY-surfshop’s 25th anniversary celebration.
  3. The Contest is not sponsored, endorsed, administered by or associated with Instagram, Facebook, Meta Platforms, Inc. or any other social media platform on which information about the Contest may be published.
  4. By participating in the Contest, each participant confirms that they have read and accepted these Terms and Conditions.

2. Contest Period

  1. The Contest begins on 14.08.2026 and ends on 16.09.2026 at 23:59 CEST.
  2. Entries submitted after the deadline will not be considered.
  3. The winners will be announced on 19.09.2026 during EASY-surfshop’s official 25th anniversary celebration in Poland.
  4. The results will also be published through EASY-surfshop’s official social media channels, and each winner will be contacted directly by email using the email address provided with their entry.

3. Eligibility

  1. The Contest is open to individuals from all countries who are at least 18 years old on the date of submitting their entry.
  2. Participation in the Contest is free of charge and no purchase is necessary.
  3. Employees of the Organiser, their immediate family members, and persons directly involved in organising or judging the Contest, may not participate.
  4. Each participant may submit one Contest entry.
  5. Participation is voluntary.

4. How to Enter

  1. To participate in the Contest, the participant must complete the Contest form available at easy-surfshop.com/25-years-of-easy-histories before the deadline specified in Section 2.
  2. The participant must provide:
    • their first name;
    • their country;
    • a valid email address;
    • their Contest entry in accordance with the requirements below;
    • any additional information marked as mandatory in the Contest form.
  3. The Contest entry should present a story, memory, experience or moment connected with EASY-surfshop.
  4. The connection with EASY-surfshop may include, but is not limited to:
    • a participant’s first order from EASY-surfshop;
    • a memorable session using equipment purchased from EASY-surfshop;
    • a memorable trip involving equipment purchased from EASY-surfshop;
    • a funny, unusual or memorable delivery or shopping experience;
    • an old photograph or video connected with EASY-surfshop;
    • a visit to EASY-surfshop or participation in an EASY-surfshop event;
    • any other personal story or memory meaningfully connected with EASY-surfshop.
  5. Entries may be submitted as:
    • a photograph accompanied by a written description/story; or
    • a video containing or presenting the participant’s story.
  6. Entries may be submitted in English or any other language.
  7. Participants are free to choose how they present their story. Professional filming, editing or photography is not required and will not in itself increase the participant’s chances of winning.
  8. Uploading a photo or video is optional but encouraged, and can be done through the link provided in the Contest form. For the best experience, the Organiser recommends the following, though entries outside these suggestions will still be accepted: common formats such as JPG, PNG, MP4 or MOV; a file size of up to approximately 200 MB per file; and no more than 5 files per entry. There is no fixed minimum or maximum length for a submitted video.
  9. The Organiser reserves the right to exclude entries that:
    • are incomplete;
    • cannot be opened or viewed due to technical issues with the submitted file;
    • do not relate to the subject of the Contest;
    • contain unlawful, offensive, discriminatory, defamatory, obscene or otherwise inappropriate content;
    • infringe copyright, image rights, privacy rights, trademarks or any other rights of third parties;
    • contain unauthorised commercial advertising or promotional material;
    • otherwise breach these Terms and Conditions or applicable law.

5. Originality and Third-Party Rights

  1. By submitting an entry, the participant confirms that:
    • the submitted material is their own original work or that they otherwise hold all rights necessary to submit and permit the use of the material in accordance with these Terms and Conditions;
    • the entry does not infringe any copyright, privacy, image, personality or other rights belonging to third parties;
    • they are entitled to grant the Organiser the permissions described in these Terms and Conditions.
  2. If other identifiable persons appear in the submitted photograph or video, the participant confirms that they have obtained any permissions required under applicable law for the submission and use of the material as described in these Terms and Conditions.
  3. The participant remains responsible for the content of their submission and for ensuring that its submission and permitted use do not infringe third-party rights.
  4. If the Organiser reasonably believes that an entry may infringe third-party rights, it may request additional information or confirmation from the participant and may exclude the entry if the matter cannot be satisfactorily resolved.

6. Selection of the Winners

  1. All eligible entries submitted within the Contest period will be evaluated by a jury appointed by EASY-surfshop.
  2. The jury will consist of 3 members.
  3. Entries will be assessed according to the following criteria:
    • Story and emotional value – 40%
    • Creativity – 30%
    • Connection with EASY-surfshop and/or watersports – 20%
    • Originality – 10%
  4. Technical production quality, professional video editing, professional photography or a participant’s number of followers on social media will not constitute separate judging criteria.
  5. The three participants whose entries receive the three highest overall assessments from the jury will be selected as the winners, ranked to determine the First, Second and Third Prize respectively.
  6. In the event of a tie affecting the ranking of the prizes, Bartek Grzesiek, as chairperson of the jury, will make the final decision based on the judging criteria stated above.
  7. The jury’s decision will be documented by the Organiser.
  8. The Organiser may also select and recognise additional entries with honorary mentions. Unless expressly stated otherwise, such recognition does not entitle the participant to an additional monetary or material prize.

7. Prizes

  1. Three winners will be selected, corresponding to the three highest-ranked eligible entries:
    • First Prize: an EASY-surfshop voucher worth EUR 300 (€300);
    • Second Prize: an EASY-surfshop voucher worth EUR 200 (€200);
    • Third Prize: an EASY-surfshop voucher worth EUR 100 (€100).
  2. Each voucher may be used to purchase products available from EASY-surfshop in accordance with the voucher conditions applicable at the time of redemption.
  3. Each voucher:
    • must be used by 31 October 2026;
    • must be used in a single order;
    • may be combined with other discount codes, promotions or vouchers, as it is treated the same way as a gift card;
    • does not cover delivery costs;
    • cannot be exchanged for cash or transferred for monetary consideration.
  4. If the total value of the products selected by a winner exceeds the value of their voucher, the winner will be responsible for paying the difference.
  5. If the total value of the products selected is lower than the voucher value, the unused balance will be forfeited.
  6. Each winner is responsible for any taxes, duties or other charges connected with receiving or using their prize where such obligations arise under applicable law, except where the Organiser is legally required to account for them.
  7. The Organiser may request information reasonably necessary to award a prize and comply with applicable tax or legal obligations.

8. Winner Announcement and Contact

  1. The winners will be announced on 19 September 2026.
  2. The announcement is planned to take place during EASY-surfshop’s official 25th anniversary celebration and through EASY-surfshop’s social media channels.
  3. Regardless of the social media announcement, each winner will be contacted directly by email.
  4. Each winner must respond to the Organiser’s email within 7 calendar days of receiving notification.
  5. If a winner fails to respond within that period, cannot be contacted using the details provided, is subsequently found to be ineligible, refuses the prize, or fails to provide information reasonably necessary to award the prize, the Organiser may select another winner for that prize tier from the remaining eligible entries, using the same judging criteria and ranking.

9. Use of Submitted Materials

  1. The purpose of the Contest includes celebrating EASY-surfshop’s 25th anniversary and presenting the experiences and memories of members of the EASY-surfshop community.
  2. By submitting an entry and accepting these Terms and Conditions, the participant grants the Organiser a non-exclusive, royalty-free licence to use the submitted photograph, video, written story and other content submitted as part of the Contest for purposes directly connected with:
    • conducting and promoting the Contest;
    • announcing its results;
    • celebrating and communicating EASY-surfshop’s 25th anniversary;
    • presenting Contest entries and selected stories through EASY-surfshop’s owned communication channels.
  3. Subject to applicable law, the permitted use may include publication or display on:
    • EASY-surfshop’s website;
    • EASY-surfshop’s Instagram, Facebook, YouTube and other official social media channels;
    • newsletters and email communications;
    • materials relating to the Contest and EASY-surfshop’s 25th anniversary.
  4. The licence is granted for a period of 5 years and for use worldwide due to the international nature of EASY-surfshop’s online communication.
  5. The licence includes the right, where reasonably necessary for publication, to technically adapt the submitted material, including resizing, cropping, shortening or adding subtitles, provided that such modifications do not materially distort the participant’s story or portray the participant in a misleading or derogatory manner.
  6. The participant retains ownership of their submitted material.
  7. Submission of an entry does not entitle the participant to payment for the use of the submitted material beyond the possibility of receiving a Contest prize.
  8. Where required by applicable law, permissions concerning the use of a participant’s image or likeness will be handled in accordance with the relevant legal requirements.

10. Personal Data

  1. The controller of personal data collected in connection with the Contest is:

  2. Personal data may include, in particular:
    • first name;
    • country;
    • email address;
    • information contained in the submitted Contest entry;
    • image and/or voice where included in submitted materials;
    • additional information provided voluntarily by the participant;
    • information required to award a prize to a winner.
  3. Personal data will be processed for purposes including:
    • administering the Contest;
    • receiving and evaluating entries;
    • communicating with participants;
    • selecting and contacting the winners;
    • awarding the prizes;
    • handling complaints;
    • complying with legal, accounting or tax obligations;
    • publishing Contest-related materials where permitted under these Terms and Conditions and applicable law.
  4. The legal basis or bases for processing personal data will depend on the relevant processing activity and may include the performance of the Contest arrangement created by acceptance of these Terms and Conditions, compliance with legal obligations, the Organiser’s legitimate interests and, where required, the participant’s consent.
  5. Personal data will be retained only for as long as necessary for the relevant purpose and thereafter for any period required or permitted by applicable law.
  6. Participants have rights concerning their personal data under applicable data protection law, which may include the right to access, rectify, erase or restrict the processing of their data, the right to object to processing, the right to data portability where applicable and the right to withdraw consent where processing is based on consent.
  7. Participants may also have the right to lodge a complaint with the competent data protection supervisory authority.
  8. Further information about the processing of personal data is available in EASY-surfshop’s Privacy Policy.
  9. Providing data required in the Contest form is voluntary but necessary to participate in the Contest. Failure to provide mandatory information may make participation impossible.
  10. An email address submitted for the purpose of entering the Contest may be used for Contest-related communications, including confirmation of receipt, organisational information and notification of the result.
  11. Participation in the Contest does not automatically subscribe the participant to marketing emails or the EASY-surfshop newsletter. Where the Organiser offers such an option, marketing communications will be subject to a separate voluntary consent or other appropriate legal basis.

11. Confirmation of Entry

  1. After successfully submitting the Contest form, the participant may receive an automatic confirmation by email.
  2. The confirmation email may include:
    • confirmation that the entry has been received;
    • information about the Contest timeline and winner announcement;
    • a thank-you message from EASY-surfshop;
    • content connected with EASY-surfshop’s 25th anniversary.
  3. Receiving a technical confirmation does not automatically mean that an entry has been accepted as eligible. The Organiser may subsequently verify compliance with these Terms and Conditions.

12. Complaints

  1. Questions or complaints concerning the Contest may be submitted to: marketing@easy-surfshop.com.
  2. Complaints should include sufficient information to identify the participant and explain the matter concerned.
  3. The Organiser will respond to complaints within 7 days of receiving them, unless a longer period is reasonably required due to the complexity of the matter.
  4. This complaints procedure does not limit any rights available to participants under applicable law.

13. Changes or Cancellation

  1. The Organiser may amend these Terms and Conditions where reasonably necessary due to legal, technical or organisational circumstances, provided that such changes do not unfairly prejudice participants who have already entered the Contest.
  2. Any material changes will be communicated through the Contest landing page and, where appropriate, the Organiser’s social media channels.
  3. The Organiser may suspend, postpone or cancel the Contest where circumstances beyond its reasonable control make its proper conduct impossible or unlawful.

14. Liability

  1. To the extent permitted by applicable law, the Organiser will not be responsible for entries that are lost, delayed, incomplete, corrupted or not successfully submitted due to technical failures outside the Organiser’s reasonable control.
  2. Participants are responsible for ensuring that their internet connection, device and submitted files allow successful completion of the entry process.
  3. Nothing in these Terms and Conditions excludes or limits liability where such exclusion or limitation is prohibited by applicable law.

15. Social Media Disclaimer

  1. This Contest is in no way sponsored, endorsed, administered by or associated with Instagram, Facebook, Meta Platforms, Inc. or any other social media platform through which the Contest is promoted.
  2. Participants acknowledge that they are providing their information to the Organiser and not to Instagram, Facebook or Meta Platforms, Inc.
  3. To the extent permitted by applicable law, each participant releases Instagram and Facebook from claims arising directly from the administration of the Contest.

16. Final Provisions

  1. These Terms and Conditions are available throughout the Contest period at easy-surfshop.com/25-years-of-easy-histories-terms.
  2. Matters not expressly regulated by these Terms and Conditions will be governed by applicable law.
  3. These Terms and Conditions are governed by the laws of Poland, without depriving participants who are consumers of any mandatory protections available to them under the law applicable to them.
  4. Any disputes will be resolved by the competent courts in accordance with applicable law.
  5. If any provision of these Terms and Conditions is found to be invalid or unenforceable, the remaining provisions will remain in effect to the extent permitted by law.
  6. These Terms and Conditions enter into force on 14 August 2026.
